SCENARIO I of III: INTERACTION BETWEEN ADMISSIONS, REGISTRATION AND STUDENT RECORD MODULES
Four new-to-the college
students:
1. Freshman with no AP or other college-level credits
approved for transfer
2. Freshman with college-level courses (AP and college
courses completed as high school student) fully approved for transfer
3. Transfer with courses tentatively approved for
transfer (including course equivalencies and amount of credit transferred) but
sitting in ÒholdÓ area pending receipt of final transcript
4. Transfer with courses fully approved for transfer
(i.e. final transcript received)
Demonstrate:
1. Display of the courses that have been tentatively or
fully approved for transfer for the freshman with college level courses and the
transfer students prior to the students having paid their tuition deposit and
being cleared to register
2. Entry of tuition deposits and subsequent steps to
clear all four students for registration
3. Display of all four students in the Registration and
Student Record modules immediately after they have been cleared to register but
before beginning registration process including;
a. Assignment of Student ID number
b. Demographic data available/viewable
c. Categorization of student (i.e. new freshman, new
transfer, etc.)
d. Transfer courses/credits
4. The time conflict, prerequisite and duplicate course
checking capabilities as these four students register for courses including:
a. Freshman with no college-level credit attempting to register for lab course where class time
for lecture component does not conflict with times for other courses but time
for selected lab section does conflict
b. Freshman with no college-level credit attempting to register for course with a prerequisite
the student has not satisfied
c. Transfer with courses fully approved for transfer attempting to register for course that has a
prerequisite that student has met with course approved for transfer
d. Transfer with courses tentatively approved for
transfer but sitting in ÒholdÓ area pending receipt of final transcript attempting to register for course that has a
prerequisite that student has met with course tentatively approved for transfer
e. Freshman with college-level courses approved for
transfer attempting to register for a
course that is a duplicate of a college-level course approved for transfer
f. Transfer with courses tentatively approved for
transfer but sitting in ÒholdÓ area pending receipt of final transcript attempting to register for course that is a duplicate
of a course tentatively approved for transfer
5. Faculty adviser completing on-line approval of each
studentÕs registration
SCENARIO II of III: INTERACTION BETWEEN REGISTRATION,
STUDENT RECORD AND DEGREE AUDIT MODULES
Three currently enrolled
students starting with registration process for following semester/trimester
including:
1. Student who entered college as a freshman with no
college-level classes who is in second semester of freshman year
2. Student who entered college as a transfer student with
equivalent of one year of transfer credit who is in second semester of
sophomore year (sophomore status based on combination of transfer credits and
credits completed since transfer)
3. Student who entered college as a transfer with
equivalent of two years of transfer credit who is in second semester of junior
year
Demonstrate:
1. Degree Audit report and Student Record for each
student as they begin the registration process
2. Control of when each student can register (i.e. date
range based on credits (transfer and at this college) completed in previous
terms and credits in which each is enrolled during the current term)
3. Each student doing Òwhat ifÓ checks using on-line
Degree Audit capabilities to determine whether courses they are considering
registering for will meet graduation requirements
4. The time conflict, prerequisite and duplicate course
checking capabilities as the student who entered college as a transfer
student with equivalent of one year of transfer credit who is in second
semester of sophomore year registers
for:
a. Two classes in day ÒcollegeÓ that operates on a
semester calendar
b. One class in weekend ÒcollegeÓ that operates on a
trimester calendar
c. One class in distance education ÒprogramÓ where
student is registering to begin course on September 1 and complete by December
15 of same year
5. Each of these students selecting Pass/Fail grade
option for one of their courses
6. Appearance of these students on class rosters with
particular attention to appearance of the student described in no. 4 above
7. Entry of mid-term progress grades and/or narrative
progress reports for student who entered college with no college-level
credit
8. Faculty entering grades at end of semester including:
a. Controls preventing improper grade entry (i.e.
blocking of letter grade entry for courses for which students have selected
pass/fail option)
b. Entry of grades for student described in no. 4 above
9. Updated Degree Audit report and Student Record after
grade entry completed
SCENARIO III of III:
INTERACTION BETWEEN
ADMISSIONS, REGISTRATION AND STUDENT RECORD MODULES AS STUDENTS COMPLETE ONE
DEGREE AND MOVE TO ANOTHER DEGREE PROGRAM IN SAME COLLEGE
Three currently enrolled
students in the last semester of current degree program who have applied for
acceptance into next level degree program at the same college:
1. Student in last semester of AA degree program that has
applied for admission to BA program under which calculation of GPA is not ÒrestartedÓ upon entry into BA program beginning next
semester
2. Student in last semester of AA degree program that has
applied for admission to BA program under which calculation of GPA is ÒrestartedÓ upon entry into BA program beginning next
semester
3. Student in last semester of bachelors degree who has
applied for admission next semester to graduate school for master degree
program at same college beginning the following semester
Demonstrate:
1. Entry of acceptance in the Admission module and
subsequent steps to clear students to register for next semester (assuming no
new tuition deposit is required because student is a currently enrolled)
2. Display of students in the Registration and Student
Record modules immediately after they have been cleared to register but before
beginning registration process
3. Control of when students can register (i.e. date range
based on status, i.e. students completing AA degree registering for first
semester of junior year and student completing BA degree registering as first
semester graduate student)
4. AA to BA students registering for four BA courses and
BA to MA student registering for two graduate school courses
5. Entry of grades at end of subsequent semester
6. Display of student records with updated statistics
after grades for first semester have been entered with particular focus on GPA
calculations
