Statistics sheets should be filled out
for:
- Groups that go to a
community site for service on a regular basis
- Groups that go to a
community site for a one-time service event
- Information sessions held
to advertise community involvement opportunities
- Speakers or events planned
on campus that involve community partners
- Trainings other education
events on campus the involve community partners
- Groups that take part in
planning major events (ie “Women’s History Month” or
“Earth Week”) that
meet in a committee over a period of time
Why do we need this
information? How do we use it?
Statistics are utilized in several
important ways:
First, they are used so the college
can have accurate stats
about how many people have participated in what kinds of projects.
These stats
are vital for grant writing, grant reports, and other institutional
kinds of
reporting. (In other words, we need everyone to fill out stat sheets so
we can
continue to serve students and the community!!)
Importantly, they are also
used to help students keep track
of what they have been involved in over their time at Macalester. For
instance, if a
student is requesting a recommendation letter, he can come to the
office and
get a printout of all the CEC activities he has participated in, and
the
letter-writer can reference these.
We also reference stats
sheets to tell more qualitative
stories about the college's involvement in the community. Having a
record of what happened what went into planning is important for future
planning purposes!
For stats to be accurate,
please make sure you fill in all
details.
FAQ’s
on stats sheets:
1)
If I
have a group that goes to a
site regularly, do I have to fill out a form for each time?
No, you
only have to fill out the
form once per semester. You will check the box on the stats form that
indicates
a weekly opportunity.
2)
If I
have a regular group that
changes from week to week, what do I do?
If the
group is basically the same
every week, just fill out one form for the entire group. If the group
completely changes, you will need to fill out multiple forms in order
to ensure
everyone who goes gets credit for going.
3)
I had
300 people at my event- Do I
really have to fill in the participants?
No.
For large-scale events, it’s
nearly impossible to list everyone who came. However, if you had a
solid group
of volunteers that helped make the event possible (a planning
committee, or
International Kidsfest volunteers, for instance), then do include a
list of
those people.
