Award Amounts/Working Entire Semester
Library student employees are assigned an award amount
by Financial Aid that determines how much they can earn
during their student employment. Students cannot earn
more than the amount that has been assigned for Fall
Semester during fall semester; it is important that
students schedule their hours so that they will be able
to work through finals week. Completing award amounts
early and being unable to work through finals week is
unacceptable. Students can earn any unearned portion
of their Fall award, as well as their Spring award,
during Spring Semester.

Time Clock Issues/Punching In and Out
Library student employees are required to punch in
on the student timeclock computer workstation when arriving
to work and punch out when they leave. The student timeclock
computer is located behind the circulation desk right
around the corner from the entrance. To punch in, click
the picture of the clock, and enter your Macalester
ID number. To punch out, click the picture of the watch,
and enter your Macalester ID number. If you fail to
punch in or punch out for a shift, you should complete
a timeclock error slip or talk to any of the circulation
supervisors as soon as possible so they can fix your
information. Falsifying punch in/punch out records is
grounds for immediate dismissal.

Pay Periods/Pay Checks
Pay periods are two weeks in length with pay periods
beginning Sunday and ending Saturday of the next week.
Paychecks are electronically deposited into student
bank accounts by the following Friday. Students recieve
a confidential confirmation email with paycheck amount,
pay rate, and hours worked. To check out the student

Supervisors/Student Managers
Each library student employee is assigned a direct
supervisor who is primarily responsible for scheduling
your hours and arranging your work assignments. In the
absence of your immediate supervisor, you can contact
any library staff member with questions. Remember, there
is always a supervisor in the circulation area if you
need the assistance of a supervisor. Many library departments
also have student managers who have received additional
training and are responsible for helping to manage the
department operations. In most library departments,
these student managers are responsible for helping the
staff supervisor oversee the supervision of work assignments,
the training of student employees, and to help ensure
smooth operation of the facility.

Work Schedule/Making Up Hours
Each semester, library departments develop a work
schedule for their student employees. Contact your immediate
supervisor if you have questions about this schedule.
You may not work more than 6 hours without punching
out for a meal break and you must be off the clock for
at least 30 minutes for meal breaks. Overtime is not
a possibility: you may work no more than eight hours
a day and no more than 40 hours a week. If you wish
to make up hours that you have missed, please check
with your supervisor to find out what possibilities
are available. Please understand that we cannot guarantee
to provide extra work for hours you have missed.

Meal Breaks/Paid Breaks
If you work a shift of four hours or more, you are
entitled to a 15 minute break without punching out.
Please arrange break times with your supervisor and
inform him or her that you are going on break before
you go. You must punch out for all meal breaks.

Working Holidays/Breaks
Special schedules are typically set up for holiday
and break periods. These holiday/break periods include
Fall break, Winter break, Easter weekend, and Spring
break. Working during holiday and break periods is voluntary;
no student employee is required or expected to work
during these periods. No student worker is expected
to work on any religious or national holiday (including
all non-U. S. and non-Christian holidays). Simply let
your supervisor know in advance of the holiday and arrangements
will be made for you to have the day off.

Working J-term
J-term is the name given to the work period that begins
immediately after the New Year’s holiday and ends
on the day before second semester begins. The library
remains open during j-term, and library departments
hire a small number of current employees to work during
that time. If you are a current employee of the library,
need extra hours to earn your complete award, and are
interested in working during January, contact your supervisor.
J-term employees may work 10-20 hours per week and are
paid at their current pay rate. Any money earned during
j-term will be deducted from your academic year award.
Employees who require on campus housing during j-term
will need to visit the Residential Life office to fill
out j-term forms.

May/Summer Employment
The library also employs students during the May and
summer employment periods. May schedule begins on the
work day immediately following the last day of the spring
semester and continues through May 31st. Summer schedule
begins June 1st and continues until the first day of
the fall semester employment period. Library departments
hire a small number of employees to work during these
periods. May and summer employees may work 10 - 35 hours
per week and are paid at special summer rates that are
typically between $8.50 and $10.00 per hour. Employees
who require on campus housing during May or summer will
need to visit the Residential Life office to fill out
special summer forms.

Student Employee Performance Evaluations
Your work performance will be evaluated by your supervisor
once per academic year. The library takes evaluations
seriously; good evaluations make excellent job references.
Please consider the evaluation interview an opportunity
for you to voice your concerns to your supervisor.
