Library Student Employment Policies
This training page gives an overview of library student
employment policies as well as general library policies
that student employees should know about. It is not
intended to cover all library policies. Visit the library

Student Employee Nametags
Student employees are expected to wear the library
nametags provided during their work shifts. Wearing
this nametag helps to clearly identify the student as
an employee of the library and makes the student more
approachable by library users. Nametags are kept in slots to the left of the timeclock computer workstation.
If you cannot find your nametag, or if your nametag
becomes damaged or is missing, you should add your name
to the "need new nametag" list posted on the
same bulletin board. A new nametag will be produced
and made available to you within a day or two. For your
protection, student nametags will display your first
name and last initial only.

Phone Use/Cell Phones
Library phones are used to conduct library
business. They should not generally be used for personal
calls by student employees. While we recognize that
there may be times when you need to take/make personal
calls at work, we ask that you limit this as much as
possible. Cell phone use is not permitted during work
hours and cell phones should be left in your backpack
or not brought in to work at all.

Visiting with Friends While Working
Student employees should avoid visiting with friends,
especially when covering public service desks. You must
remain approachable to the public, in particular at
service desks and in the stacks. You will probably see
friends in the library while you are working. It's fine
to say hello, but limit further conversation to a minute
or so. Please--don't bring friends into staff work areas,
or behind service desks. Friends or other non-library
employees should never be allowed behind public service
desks or in private staff work areas.

Computer Use
Most jobs in the library involve computer use. While
it is okay to briefly check your email or check something
on the web, these computers are provided to accomplish
library work. Doing anything that would interfere with
your ability to accomplish your assigned job tasks or
to provide quality customer service to library users
is not allowed. Playing games, watching DVDs, and similar
recreational tasks are not allowed. Student employees
should also never download software onto library computers
or change computer configurations without the prior
approval of a library staff supervisor.

Student Employee Privacy
College guidelines protect your rights to privacy
in employment. Library staff and student employees will
not release information about your work schedule to
anyone outside the college. We will confirm your employment,
but will give no further information (about job performance,
for example) to anyone outside the college without your
permission. If, when you are working, you receive a
phone call or other inquiry about a fellow student employee,
you should inform them if the person is currently working
but not give out detailed information about future shifts,
etc. You can also offer to take a message. Phone numbers
or other contact information should not be given out.
If personal concerns will affect your job, please bring
them to your supervisor. We will consider such information
confidential and will maintain your right to privacy.

Confidentiality of Library Information/Accounts
While performing daily duties, library
student employees often come in contact with private
information about library users. This information should
be treated with the strictest of confidence. No private
patron information should ever be given out over the
counter. It is your job to protect the library user's
right to privacy as protected by law. Reserve files,
circulation files, interlibrary loan files, and fines
records are strictly confidential. Do not give anyone
the name of someone who has a book checked out--even
if the book is very overdue. All inquiries about library
user information should be referred immediately to a
staff supervisor.
You will also have access to the online library system,
to library-related computer/network accounts (including
computer passwords) and to other library computer information.
This information should also be treated as strictly
confidential and should be used only in the performance
of your work assignments on the job.

Security Issues
Report any security concerns to your supervisor immediately.
If your immediate supervisor is not around, there is
always a supervisor at the Circulation Desk (x6610).
Security concerns include:
- library users behaving strangely;
- library users abusing library property, including
books, furniture, and computer equipment;
- any illness or injury (anything requiring more than
a band-aid);
- theft of library or personal property (your own or
someone else's); or
- library users harassing you or another student employee
or behaving rudely.
Please report these concerns immediately. Let a supervisor
handle the problem. If no supervisor is around, call
the security officer for help.

Attendance/Scheduling/Absences
All library student employees are expected to show
up for scheduled shifts on time and ready to perform
their assigned job responsibilities. Absences, including
planned absences and absences due to illness must be
handled according to library procedures. You should
always attempt to find a replacement when you cannot
work. All student employees are expected to work the
full semester, including finals week. For more information,

Scheduled Breaks
All employees are allowed by federal law to take one
15-minute break for every four hours worked. Please
talk with your supervisor to make sure any service areas
are covered while you take your break. In addition,
if you work over mealtimes it is possible to schedule
a meal break. Again please talk with your supervisor
in order to do so. For any student working more than
six hours in a row, federal law permits one 30-minute
meal break.

GROUNDS FOR IMMEDIATE DISMISSAL
Although we expect no incidents, you must understand
that some behavior is unacceptable. These are grounds
for immediate dismissal, and will be reported to the
Dean of Students:
1) theft of any kind, including falsifying timecards,
2) abusing copier cards for personal copying,
3) stealing library supplies or property,
4) copying of library-owned software,
5) making unapproved long distance calls on library
telephones,
6) tampering with library records, including circulation
and fines records in the system
7) misusing system and/or computer passwords or accounts,
or
8) violating the confidentiality of library information.

Food and Drink Policy
Food is allowed on the main and lower levels of the
library, on levels 2 and 3, in the Link, and in staff
work areas. Food is not allowed on level 4, at Public
Service Desks, in Rare Books and Archives, and in the
library instruction classroom (except for special event
situations). Drinks are allowed throughout the building,
with the exception of the Rare Books and Archives areas.
The library respectfully requests the use of spill-proof,
reuseable containers. Spill caddies are located at the
Circulation Desk, the Reference Desk, and the Lower
Level Desk. If an accidental spill is reported to you
during your shift, please help the patron clean the
spill. For larger spills or other situations that need
clean up, ask your supervisor to call Facilities Management.
Student employees should not bring food to work with
them to eat during their shift. Your supervisor may
ask you not to consume beverages on the job depending
on the type of work you are doing. If your schedule
overlaps a meal time, please discuss it with your supervisor.

Library Supplies
This includes paper, tape, Liquid Paper, pens, paper
clips, etc... The library budget is tight--we cannot
afford to supply these items to library users. If a
library user is persistent, refer him or her to a supervisor.
Refer people to recycling areas for paper. Public use
staplers, paper cutters, and hole punches are available
at selected public service desks and/or photocopier
areas.

Injuries on the Job
If you are injured or think you have been injured
while working as a student employee in the library,
no matter how slightly, you must report the injury immediately
to your supervisor to protect your eligibility for compensation
and coverage under worker's compensation rules. You
and your supervisor should complete the necessary HR
Form to document the injury within 24 hours. Any questions
concerning the form, workers' compensation, or on-the-job
injuries should be directed to Jacki Betsworth (x6345)
or to the campus Human Resources Department (x6780).
