There are two ways to prepare materials for binding in Millennium Serials: either by pulling volumes from the shelf and preparing them "on-the-fly," or by running a list of volumes that the system believes are ready to be pulled. We prefer to prepare volumes on-the-fly most of the time, and a Student Manager will run the pull list every month or two, to catch the volumes that may have been missed. These directions will address both methods.

On-the-fly Binding:


  1. After you have pulled volumes from the shelves following the directions for initial binding preparation, open the record (in check-in mode) for the issues you want to bind. If you will be sending a large number of items to be bound, you might want to change to "To Bind" mode.

    From Check-In mode, right click on a box, and change the Card Function of the Check-in Card:

  2. If the system recognizes items as ready to bind, it will automatically highlight a group of prepared items. The system generally does not recognize irregular volumes, (i.e., a quarterly journal that has put out a fifth issue, etc.), and will select the number of boxes expected in the predicted grouping. You will need to verify which issues you actually need and select (or deselect) the extra boxes.
  3. Click on "To Bind" in the control panel above the boxes, and the "Send To Bindery" window will open:
  4. The binding set-up default is to NOT print slips; you will need to set this to print slips. The setting will last for as long as your initials are set; clearing initials will reset the default.

  5. There are a variety of binding slips available, which can be selected from this drop down menu, or can be pre-set in your binding notes. The pre-set is chosen by setting the binding slip number of your choice at the beginning of your binding notes, followed by the back slash (\). Choose an appropriate binding slip format, then press "SUBMIT."
  6. The system should prompt you to select a printer at this point, from a list of options similar to the following. The options displayed are from the Macalester Staff login - the student login only has options for "Local" and "Macalester SerAcq". You need to select "Macalester SerAcq" - the Local Printer WILL NOT PRINT!
  7. Pressing "SUBMIT" in the Send To Bindery window also brings up a window where you can see exactly what will be printed on your binding slip. The screen consists of a variety of spaces containing either dollar signs ∥&dol;∥ or text. Dollar signs indicate spaces, the text is what will print. These text boxes can be edited to input the appropriate volume and number information, etc., for the title. Alternately, you may choose to print it as is and edit it by hand. You can preview the slip if you would like to see what the final product will look like.

  8. The system will mark the boxes "To Bind" and remove the highlight. It will also insert a new transaction date in the box, which will display in the OPAC as the date the volume was sent to be bound.


Pull List Binding:


  1. For this method, you must be in the "Binding" mode (from the side menu). The interface is a screen like the following, where you can enter a range, select a review file, or enter a Boolean search for items. Generally, we always recommend the range selection feature, which automatically narrows the range to the Macalester set of Check-in records.
  2. After you have chosen your search method and range, press "Start,". A status bar for the search should pop up. This tells you the status of the system in building the data set that will be searched. IT IS NOT THE SEARCH!
  3. Once the search is started, the control bar at the top of the screen will provide the following options; start or stop the search; select a current record; or alter your search range or review file. The current record box will also tell you what record the system is currently examining.
  4. The "Current Record" box will begin to move through the records, (hopefully, in a speedy manner...), stopping whenever it hits a title that should be ready to bind.
  5. The title will pop up with the binding functions in the tool options across the top of the card. You can either choose to print a pull slip, and have the materials pulled and verified later, using the "On-the-fly" method, or you can pull it immediately, and hit "To Bind." You should only hit "To Bind" if you have the item in your hands right then! If you choose to print a Pull Slip, it will print directly and you will need to select the printer. If you choose to send the volume directly to binding, you will need to go through the "Send to Bindery" screen as reviewed above.
