Conference FAQs


I have registered online - what is the deadline for submitting payment of the registration fee?

Registration fees can be paid via credit card, check or using funds available in library's MINITEX account. Payment should be received within 30 days of online registration and no later than February 29, 2012. Any registration where payment has not been received by February 29, 2012 will be cancelled.


What is the mailing address for sending conference registration payment?

Those conference participants who choose to pay registration fees by check can mail the full two-day conference or single day registration fees to the following address:

Check payments should be made payable to Macalester College and must be received by February 29th or registration will be cancelled.



Is it possible to get a refund of conference registration fees if I am unable to attend
?

A full refund of the conference registration fee is available to individuals who find themselves unable to attend if the refund request is received in writing (email to betsworth@macalester.eduis acceptable) no later than February 29, 2012.  Refund requests received in writing on or after March 1st but before March 7th will receive a refund of registration fees minus a $35 processing fee. No refund is available after March 7th.

If I am unable to attend, can I transfer my registration to a co-worker?

If you have registered to attend the conference and then find yourself unable to attend, you can arrange to have a co-worker attend in your place if these arrangements are made no later than March 7th. In these situations, we will do our best to allow the co-worker to change session and meal option selections. To arrange for this accomodation, please email betsworth@macalester.edu.

What meals are included in the registration fee?

Each day of the conference, a light continental breakfast will be provided during the morning registration/check-in time slot, lunch featuring both vegetarian and non-vegetarian options around the noon hour, as well as an afternoon break featuring food and beverage selections. In addition, beverage service - including continuous coffee - will be provided throughout the day. All of these 'meals' are included in the conference registration fee.

NOTE: If you have special dietary needs, please let us know. Please include it in the space provided on the 'meal option selection' page of the registration process. We will do our best to accommodate all dietary needs.

Are continuing education credits available through this conference? 

No arrangements have been made by conference planners to provide any sort of continuing education units/credits for attendance at this conference. 

Can I receive a 'Certificate of Attendance' for this conference?

We can provide a conference 'certificate of conference attendance' to any conference attendee who requests one. Please notify betsworth@macalester.edu or libtechconference@macalester.edu if you would like to receive such a certificate. It will be made available in your conference registration packet upon your arrival.

What happens if there is inclement weather and the conference can't be held ?

The Library Technology Conference and Macalester College shall assume no liability whatsoever in the event the conference is cancelled, rescheduled or postponed due to a fortuitous event, Act of God, unforeseen occurrence or any other event that renders performance of this conference impracticable or impossible. A fortuitous event shall include, but not be limited to: extreme weather, fire, labor strike, or other emergency. We are unable to reimburse registration fees, including fees billed through Minitex. The Library Technology Conference and Macalester College are not responsible for any loss to the Conference registrant due to inclement weather that may prevent the Conference registrant, presenter, exhibitor, or sponsor from attending the Conference.

Registrants who are unable to attend:

- May transfer the registration to another individual. The individual receiving the transferred registration shall go to the Main Conference Registration area in Macalester College’s Leonard Center to complete the registration transfer process.

- Are solely responsible for handling any transfer or cancellation of hotel or other reservations.

Presenters who are unable to attend:

- Should contact libtechconference@macalester.edu.

- If a substitute presenter is available to conduct the session, the presenter registration will be transferred to the substitute presenter.

- Are solely responsible for handling any transfer or cancellation of hotel or other reservations.

Exhibitors or Sponsors who are unable to attend should know:

- In the event that severe weather conditions or travel advisories prevent an exhibitor or sponsor from their participation in the Library Technology Conference, no reimbursements shall be paid and any outstanding payments owed to the Library Technology Conference and Macalester College shall be paid in full.

- The Library Technology Conference shall be responsible for ensuring that the exhibitor's assets delivered in advance to the Macalester College campus be returned to the exhibitor. Expenses for return shipment shall be paid for by the exhibitor.

- The exhibitor or sponsor is solely responsible for handling any transfer or cancellation of hotel or other reservations.

Speaker Substitution Policy

Please note that while speakers and topics were confirmed at the time of publishing, circumstances beyond the control of the organizers may necessitate substitutions, alterations or cancellations of the speakers and/or topics. As such, the Library Technology Conference reserves the right to alter or modify the advertised speakers and/or topics if necessary without any liability to the Conference or Macalester College whatsoever. Any substitutions or alterations will be updated on our web page as soon as possible.
