Domestic Students Employment Checklist

Before you arrive

Before starting employment, all student employees must complete the following paperwork including a Form I-9 and provide original documents to establish identity and employment eligibility. 

✓ Gather your Lists of Acceptable Documents used to complete I-9 Form that must be used to establish identity and employment eligibility. Photocopies, faxes, and laminated Social Security cards will NOT be accepted. You may bring any document included on the List of Acceptable Documents. Common examples on the list of acceptable documents include:
- unexpired U.S. Passport
- driver’s license and Social Security card
- driver’s license and original copy of birth certificate

Additional Requirements and Deadlines

  • Mandatory Student Employment Orientation, Sunday, August 28, 2016 10–10:45 AM or 1–1:45 PM. John B. Davis Lecture Hall, Campus Center. Must attend either the morning or afternoon orientation to learn about timecards, employer expectations and more.
  • ✓ Café Mac Student Employment Orientation, Sunday, August 28, 2016,  2:15 - 3:15 pm.   Campus Center, Café Mac-South. Have your class schedule handy. This mandatory orientation is only for Café Mac student employees.
  • ✓ Contact your supervisor, on or before the first day of class. Failing to contact your supervisor by September 7, 2016 may forfeit your student employment position.
  • ✓ Sign up for direct deposit online via 1600grand and your paycheck will be deposited directly into your bank account. You need to know your bank or financial institution's Routing Transit Number (RTN) and your account number to do so. Direct deposit is optional, but highly recommended by the Payroll Office. 

International Students Employment Checklist

Before starting your employment, all student employees must complete and sign an I-9 Form and provide original documents to establish identity and employment eligibility. 

  • ✓  I-9 Form, Employment Eligibility Verification must be completed and signed by you at this drop-in session. Macalester College will supply the form at this session. Be sure to bring originals from the Lists of Acceptable Documents to establish identity and employment eligibility.
  • ✓ Bring Form I-20, Certificate of Eligibility for Nonimmigrant Student Status to this drop-in session.
  • ✓ Bring I-94 Arrival/Departure Record, issued by a Customs and Border Protection (CBP) Officer to foreign visitors entering the United States. Get your electronic I-94 number at https://i94.cbp.dhs.gov/I94/. The printout from the Customs and Border Protection (CBP) website is an official I-94 Arrival/Departure Record. You will need to bring a printed copy of your I-94 to this drop-in session.
  • ✓ Register for a GLACIER account. GLACIER is a nonresident alien tax compliance system. Registration must begin before your first payment as a Macalester student employee. All international students will receive an email from GLACIER with instructions on how to register for an account. Follow the instructions and bring the required forms and document copies to this drop-in session. 
  • ✓ Review the New Health Insurance Marketplace Coverage Options and Your Health Coverage, you do not need to fill in any fields, and then sign and date the Exchange Notice Acknowledgement Receipt.
  • ✓ Complete and sign Student Employee Confidentiality Agreement
  • ✓ Complete the Student Employment Check Authorization Form should you want to have your earnings applied to your student billing account instead of receiving your pay directly. This form is optional. Contact Student Accounts at  with questions. This form is optional.

  • Apply for a U.S. Social Security Number (SSN). Macalester's International Student Programs can provide you with assistance in applying for an SSN. Your SSN must be on file with Employment Services no later than six weeks after the start of your employment at Macalester.
  • Record your SSN with GLACIER. Go to www.online-tax.net and log in. Enter your SSN in the appropriate field, print and sign the resulting documents, and bring these documents to Employment Services, 201 77 Mac.
