Accessing the System

  1. Log onto the 1600grand portal
  2. Click on the Employment/My Job tab
  3. Look for the “Time Approval” channel – (usually located on the upper right of the page layout)

Approval Instructions

  1. Click on the appropriate link in the “Time Approval” channel – (for example: Biweekly – 9, Period Ending : Apr 28, 2017, Time Sheet)
  2. By default, this channel is set to only show a link when a timesheet or leave report is pending approval – this and other channel settings can be changed by clicking on the (edit) icon

Approver Summary Page

On the Approver Summary Page, you will see a listing of all employees in the department under the pay ID selected. This will show you the status of their record. Choose one following methods to approve employees:

To Approve or Correct Individual Employees

  1. Scroll to each employee. (choose one of the following):
    • Click on the Approve or FYI check box to approve.
    • Click on the Return for Correction check box to send back to the employee for correction (it is recommended that you follow-up with an e-mail, phone call or verbal notification as the employee has no direct notification unless they log onto the 1600grand portal.)
    • Click on Change Time Record to correct the employee’s record. (It is recommended this be used only in the event that the employee is unavailable to make the correction). This option produces a history record that shows who made the correction.
  2. Click on the Save button to submit the records for payroll processing or correction.
  3. Repeat as needed for other pay IDs or departments.
  4. When all employees who have worked are included in the “Approved” grouping, you’re done!

To Mass Approve All Employees

  1. After reviewing all employees on the summary, simply click on Select All, Approve or FYI button.
  2. Click on the Save button to submit to payroll.
  3. Repeat as needed for other pay IDs or departments.
  4. When all employees who have worked are included in the “Completed” grouping, you’re done!

Approver Selection Page

This page is used to select the department, payroll, and pay period that you wish to approve. You may also use this page to look-up time sheets from previous pay periods for historical purposes. To access this page find and click on the Select New Department button (found typically at the bottom of a given timesheet).

Troubleshooting

  1. By default, a link on the Time Approval channel will only appear if an employee has submitted time for approval – contact your employee and have them submit their records
  2. After the submission deadline expires only – To force a time sheet submission (in the event the employee did not submit their time prior to the deadline), click on the button (in the Time Approval channel) and switch the “Display:” setting from “Pending Records” to “All” records; click “Apply” and “Back”; click on the appropriate link; click on the person’s name; click the “Submit” button and proceed through “Approval” steps as normal
