{"id":1167,"date":"2021-08-01T02:54:41","date_gmt":"2021-08-01T02:54:41","guid":{"rendered":"https:\/\/www.macalester.edu\/160-serie-center\/?page_id=1167"},"modified":"2025-11-30T16:23:32","modified_gmt":"2025-11-30T16:23:32","slug":"sample-syllabus-statements-and-policies","status":"publish","type":"page","link":"https:\/\/www.macalester.edu\/serie-center\/sample-syllabus-statements-and-policies\/","title":{"rendered":"Sample Syllabus Statements and Policies"},"content":{"rendered":"<p><span style=\"font-weight: 400\">Although it is always important that your syllabus (or your Moodle site, or wherever you communicate course policies and expectations to students) be clear, pandemic teaching taught us that it is critical that your syllabus <\/span><strong>communicate your expectations unambiguously and offer a perspective grounded in care and community<\/strong><span style=\"font-weight: 400\">. <\/span><span style=\"font-weight: 400\">The syllabus is also an important place to share Macalester&#8217;s <strong><a href=\"https:\/\/www.macalester.edu\/academicprograms\/academicpolicies\/academicintegrity\/\">academic integrity policy<\/a><\/strong>.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Below are links to resources and suggestions for communicating with your students and for developing specific course policies. This is not, of course, an exhaustive list of policies and resources you might include in your syllabus. The College Transition Collaborative developed <a href=\"https:\/\/collegetransitioncollaborative.org\/policy-review\/\">this guide to creating student-centered course policies<\/a>. You may also want to consult with members of <\/span><a href=\"https:\/\/www.macalester.edu\/epag\/\">EPAG.<\/a><\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Communicating with Your Students<\/span><\/h2>\n\n\n\n<p><strong>Communicating with your students (and encouraging them to communicate with you)<\/strong><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Posting in <\/span><a href=\"https:\/\/docs.moodle.org\/38\/en\/Announcements_forum\"><span style=\"font-weight: 400\">the <\/span><b>\u201cAnnouncements\u201d forum<\/b><\/a><span style=\"font-weight: 400\"> on your course Moodle page automatically sends an email to your class, and keeps a running list of course communications. Using this is best practice, especially if there are situations in which students can\u2019t access their Macalester email.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">You can also email your <\/span><strong>class email list<\/strong><span style=\"font-weight: 400\"> (for Spring 2026 classes, your class email address is sp26-xxxx-000-00@groups.macalester.edu, where xxxx is your department abbreviation, and 000-00 is your course and section number).<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">You can simplify sharing Google Drive files and folders by <\/span><a href=\"https:\/\/support.google.com\/drive\/answer\/7166529?hl=en&amp;ref_topic=7000947\"><span style=\"font-weight: 400\">making a <\/span><b>Google Contacts<\/b><span style=\"font-weight: 400\"> label for your class<\/span><\/a><span style=\"font-weight: 400\">. (You can share a folder or document with a Contacts label <\/span><a href=\"https:\/\/support.google.com\/drive\/answer\/7166529?hl=en&amp;ref_topic=7000947\"><span style=\"font-weight: 400\">just like you would an individual person<\/span><\/a><span style=\"font-weight: 400\">).<\/span><\/p>\n\n\n\n<p><strong><em>Be clear about how students should contact you (email only? via Moodle? by leaving a voice message on your office phone? by text or voicemail on your personal cell phone?), and when they can expect you to answer email. It is not your responsibility to be \u201con call\u201d 24 hours a day, 7 days a week. If students know when they can count on a response to their questions (e.g., \u201cI will answer email every weekday afternoon between 3-5 p.m.\u201d), they are less likely to expect that you will answer them instantaneously, or at 2 a.m. You can also mitigate that expectation (of you and of your colleagues!) &#8211; even if you actually are answering email at 2 a.m. &#8211; by using the &#8220;schedule send&#8221; function in Gmail.<\/em><\/strong><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Setting up Student Drop-in Hours<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400\">If you want to hold virtual drop-in office hours (which you could call &#8220;student drop-in hours&#8221; to make their intention more clear), set up <\/span><a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/214973206\"><span style=\"font-weight: 400\">a recurring <\/span><b>Zoom<\/b><span style=\"font-weight: 400\"> meeting<\/span><\/a><span style=\"font-weight: 400\"> with a <\/span><a href=\"https:\/\/support.zoom.us\/hc\/en-us\/articles\/115000332726-Waiting-Room#h_ef88b56b-4e8b-4976-8369-a4e5bfd4cca5\"><span style=\"font-weight: 400\">waiting room<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Dr. Vanessa Dennen at Florida State University developed some <\/span><a href=\"https:\/\/vanessadennen.com\/2020\/03\/18\/online-office-hours\/\"><span style=\"font-weight: 400\">excellent tips on hosting remote office hours<\/span><\/a><span style=\"font-weight: 400\">, that are worth taking into consideration as you plan out how to meet with your students.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Consider strategies that invite all students to your drop-in hours by making it clear what they are for and that all students are welcome and encouraged to take advantage of them. Here\u2019s an example from <\/span><span style=\"font-weight: 400\">Adam Heidebrink-Bruno\u2019s post in Hybrid Pedagogy &#8211;<\/span> <a href=\"https:\/\/hybridpedagogy.org\/syllabus-manifesto-critical-approach-classroom-culture\/\"><span style=\"font-weight: 400\">Syllabus as Manifesto: A Critical Approach to Classroom Culture<\/span><\/a><span style=\"font-weight: 400\">:<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">\u201cYou all enter this classroom with [&#8230;] different sets of skills. In virtue of this fact, I open my office to you as an extension of the classroom, including scheduled virtual meetings and individualized tutoring in the vast areas of academic writing and critical literacy skills. There is no shame or embarrassment in asking for help, although it is common to feel anxious in approaching one\u2019s teacher. To enter my office and ask for help is an act of bravery. To enter and chat about nothing in particular often leads to new insight. Both are valuable. Both show that you trust me. I promise to respect you and earn that trust through compassionate listening and understanding\u2026\u201d<\/span><\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Course Policy Guidelines and Sample Syllabus Statements<\/h2>\n\n\n\n<h3 class=\"wp-block-heading\">Academic Success<\/h3>\n\n\n\n<p><strong>Sample syllabus statement:<\/strong><\/p>\n\n\n\n<p>Macalester has many resources to support students academically. For example, the Writing Center (WC) provides one-on-one peer tutoring for writing at any stage of a project or paper; the Science and Quantitative Center (SciQ) supports group tutoring for many math, science, and econ courses; and Academic Coaching provides one-on-one support for study skills, time management, reading, note taking, and effective learning strategies. Seeking help is a sign of strength and maturity, and everyone is encouraged to take advantage of the (free) resources available. Check out the <a href=\"https:\/\/www.macalester.edu\/academic-success\/\">Academic Success page<\/a> for more information about our services.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Accommodating disability<\/span><\/h3>\n\n\n\n<p><a href=\"https:\/\/www.macalester.edu\/disabilityservices\/faculty\/syllabus\/\"><span style=\"font-weight: 400\">Sample disability accommodation statements<\/span><\/a><span style=\"font-weight: 400\"> from the Center for Disability Resources<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Attendance and Participation<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400\">As a residential liberal arts college, we place a premium on &#8220;being there&#8221; and recognize that learning at Macalester requires being present in class. At the same time, we know that there are many reasons for which a given student may not be in class on a given day. Please ask yourself the following questions and consult the following resources as you develop an attendance policy:<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400\">How can I create and support a maximally flexible attendance policy that honors both the work that is happening in the classroom in real time and the complexity of students&#8217; lives? Do I have to require attendance as part of my course grading system? If yes, why? If not, why not?<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400\">Might I consider ways to assess student engagement that doesn\u2019t count being in a particular place at a particular time as part of the grade? (see below for sample participation policy language)<\/span><\/li>\n\n\n\n<li><a href=\"https:\/\/www.exploreaccess.org\/refocus2\/practices\/procedures\/attendance\/\">Developing attendance policies<\/a> (from Refocus 2.0: A Disability Resource Professional&#8217;s Toolkit)<\/li>\n<\/ul>\n\n\n\n<p><strong>Sample attendance policy language:<\/strong><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Attendance plays an essential role in learning; you are warmly invited, encouraged, and expected to attend all class\/lab meetings. Attendance will be important not only for your learning, but also for our ability to build a community together and maintain a sense of connection and commitment to one another during the semester. Your presence in class matters.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">I recognize that there are unavoidable circumstances that sometimes make it impossible for you to attend class. If you will not be in class for any reason, it is your responsibility to inform me in advance via [*<\/span><em><span style=\"font-weight: 400\">be explicit about how students should inform you: via email? Moodle? Some other method?*<\/span><\/em><span style=\"font-weight: 400\">]. Students with disabilities should discuss their accommodations with me early in the course to work out a plan that aligns with maintaining course expectations and goals.&nbsp;<\/span><\/p>\n\n\n\n<p><strong>Sample participation policy language:<\/strong><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Participation is distinct from attendance and is also an essential part of this course. In-class discussions, on-line discussion forums, responses to brief ungraded writing assignments, etc. will be factored into your participation grade. Engaging with the (real and virtual, synchronous and asynchronous) classroom space &#8212; including by helping to create an environment where all of us can learn and think well about one another &#8212; will also be factored into participation.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">[<em>*<\/em><\/span><span style=\"font-weight: 400\"><em>For courses that require in-class discussion, some colleagues add language such as this (merci, French Department!)*<\/em>:<\/span><span style=\"font-weight: 400\">] It is important to remember that we all have different styles of expression. If you have not been able to participate in a class discussion for any reason but want to demonstrate your active engagement, please send me an email after class with a comment or an idea you had that you would have liked to share, but were not able to during class.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Students with any concerns, questions, or need for consideration for flexibility should connect with me as soon as possible to determine an appropriate plan.&nbsp;<\/span><\/p>\n\n\n\n<p><b><i>Please note:<\/i><\/b><span style=\"font-weight: 400\"> It may be that illness or other unexpected situations will require you to be away for class for more than half of the semester, necessitating that we consider the possibility of withdrawal or an incomplete. We will stay in contact, and will seek support from colleagues in Student Affairs and in Academic Advising, should that situation arise.<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Bias Response<\/span><\/h3>\n\n\n\n<p><a href=\"https:\/\/www.macalester.edu\/equity\/bias-incidents-and-discrimination\/\"><span style=\"font-weight: 400\">Macalester\u2019s Bias Response Team<\/span><\/a><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Expectations for Online\/remote Class Engagement&#8217;<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400\">If you are doing any remote teaching or are allowing (occasional) remote participation in your classes, it will be important to engage your students in a discussion of your shared expectations related to a variety of ways of being and sharing information in the remote and online environment (some of these issues are captured under the [admittedly complicated] concept of \u201cnetiquette\u201d; there are lots of examples on the internet<\/span><span style=\"font-weight: 400\">). Some questions to ask yourself &#8211; and your students &#8211; as you develop expectations or provide guidance\/policy via your syllabus include:<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400\">Do I want to develop &#8211; with my students &#8211; a set of shared expectations or guidelines for discussion and other forms of engagement? If so, how can I be sure that the guidelines don\u2019t prioritize the protection of some students over others?&nbsp;<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400\">Do I want to discuss with students the ways in which Macalester\u2019s <\/span><a href=\"https:\/\/www.macalester.edu\/residential-life\/policies\/\"><span style=\"font-weight: 400\">community standards<\/span><\/a><span style=\"font-weight: 400\"> apply to the various forms of virtual engagement that will happen in this course?&nbsp;<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400\">What &#8211; if any &#8211; digital information can be shared beyond the class? Will you disallow taking screenshots? Sharing screenshots? Under what circumstances and with whom?<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400\">What should I do about students who do not turn on their video during Zoom classes?<\/span>\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400\">Although it can be challenging to engage with a screen full of still photos or names, expecting students to have their video on during Zoom or other videoconferencing sessions is quite complicated. In addition to general concerns about privacy, during the spring of 2020 we heard about students from working class\/poor backgrounds who were so self-conscious and stressed about how their space looked that they spent considerable effort \u201cdesigning\u201d their study space to look more middle class. Bandwidth challenges can also make it impossible for some students to have their video on continuously, and not all students will be participating from a private space. This is an important opportunity not only to remind students that you understand that they are joining your class from a wide range of spaces, but also to name and interrupt classism and internalized classism. Acknowledge that the multiple perspectives students bring from a wide variety of backgrounds and life experiences enrich the intellectual community of your classroom.<span style=\"font-weight: 400\"> <\/span><\/span><a href=\"https:\/\/er.educause.edu\/blogs\/2020\/9\/dear-professors-dont-let-student-webcams-trick-you?utm_source=Selligent&amp;utm_medium=email&amp;utm_campaign=tl_newsletter&amp;utm_content=09-29-2020&amp;utm_term=Dear+Professors%3A+Don%27t+Let+Student+Webcams+Trick+You_&amp;m_i=TknmiIqsvxp9IJdR1nSJ9YLsF4fzuiYfvmbFRThWdnVOfrWxNhcVRyKb9bGrLL4XvkKTup9umWtzfiEPWy_vpDAd6WtAganTTp&amp;M_BT=35299440916\">This piece by Marquart and Russell<\/a><span style=\"font-weight: 400\"> offers a compelling case for making \u201cvideo on\u201d optional<\/span>.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Food Insecurity<\/h3>\n\n\n\n<p>Food insecurity is a common issue among college students. Macalester&#8217;s&nbsp;<a href=\"https:\/\/www.macalester.edu\/leadership-engagement\/campus-center\/open-pantry\/\">Open Pantry<\/a>&nbsp;is located in room 242 of the Campus Center (CC). All Macalester students can access the pantry with their student ID whenever the CC is open. The pantry includes vouchers to&nbsp;<a href=\"https:\/\/linktr.ee\/mac.share\">MacShare<\/a>, the on-campus student-run co-op that sells fresh food every Friday. If you are facing unanticipated financial hardship, the&nbsp;<a href=\"https:\/\/www.macalester.edu\/financial-aid\/emergencyaid\/\">Emergency Aid program<\/a>&nbsp;may be able to help. The&nbsp;<a href=\"https:\/\/www.macalester.edu\/dean-of-students\/\">Dean of Students team<\/a>&nbsp;can meet with you individually to discuss resources.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Generative AI<\/span><\/h2>\n\n\n\n<p><a href=\"https:\/\/docs.google.com\/document\/d\/1bfDSI8Wmbbr2_49kg7_51GWA96WACOAx_6KhmpZTzZ8\/edit?usp=sharing\"><span style=\"font-weight: 400\">Sample AI syllabus statements and other syllabus resources<\/span><\/a><\/p>\n\n\n\n<p><a href=\"https:\/\/libguides.macalester.edu\/ailiteracy\">AI Literacy and Critical Thinking<\/a> (note especially the <a href=\"https:\/\/libguides.macalester.edu\/ailiteracy\/faculty\">page dedicated to faculty<\/a>)<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Grading<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400\">As always, be sure your syllabus clearly describes your grading policy. <\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">For some colleagues, the current teaching and learning context &#8211; in which many factors may continue to compromise students&#8217; ability to do their best work &#8211; raises concerns about the meaning and role of grades and grading practices. Under the best of circumstances, grading is typically not professors\u2019 favorite aspect of teaching. Indeed, the entire concept of grading is contested, controversial, and &#8211; for some &#8211; deeply problematic (<\/span><a href=\"https:\/\/profhurley.medium.com\/i-stopped-grading-you-can-too-33f155911f4e\"><span style=\"font-weight: 400\">causing colleagues in the latter group to abandon the practice altogether<\/span><\/a><span style=\"font-weight: 400\">).\u00a0<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Nevertheless, we give students course grades at Macalester, and it&#8217;s important that students know what components of their learning will be assessed in what ways, and how that will be factored into their course grades. The use of <\/span><a href=\"https:\/\/teaching.cornell.edu\/teaching-resources\/assessing-student-learning\/using-rubrics\"><span style=\"font-weight: 400\">rubrics<\/span><\/a><span style=\"font-weight: 400\"> can help you clarify your expectations to students (and may also save you some time!). Many of our colleagues have adopted a <\/span><a href=\"https:\/\/wac.colostate.edu\/docs\/books\/inoue\/appendixa.pdf\"><span style=\"font-weight: 400\">contract grading system<\/span><\/a><span style=\"font-weight: 400\">. You might also consider <\/span><a href=\"http:\/\/rtalbert.org\/specs-grading-iteration-winner\/\"><span style=\"font-weight: 400\">specifications grading<\/span><\/a><span style=\"font-weight: 400\"> or \u201c<\/span><a href=\"https:\/\/www.insidehighered.com\/news\/2019\/04\/02\/professors-reflections-their-experiences-ungrading-spark-renewed-interest-student\"><span style=\"font-weight: 400\">ungrading<\/span><\/a><span style=\"font-weight: 400\">.\u201d If you&#8217;re interested in seeing a syllabus that uses a contract grading system, or in connecting with a colleague who has incorporated that process into their courses, please contact Joan Ostrove (<a href=\"mailto:ostrove@macalester.edu\">ostrove@macalester.edu<\/a>); please also check out the resources on the <a href=\"https:\/\/www.macalester.edu\/serie-center\/assignment-design-and-assessment\/\">assessment and grading page<\/a> of the Serie Center website.<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Health and wellness<\/span><\/h3>\n\n\n\n<p><b>Sample health and wellness statement (<\/b><b>additional versions, plus a full list of resources, are available <a href=\"https:\/\/docs.google.com\/document\/d\/15PDPFYkoHaXfRNDs6EXgA3Lv_opbyYXUB4dnf4HAZK8\/edit?usp=sharing\">from the Hamre Center<\/a>):<\/b><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400\">Here at Macalester, we encourage you to make your well-being a priority throughout this semester and your time here. Investing time into taking care of yourself will help you engage more fully in your academic and holistic experience.\u00a0Sleeping, moving your body, and connecting with others can be strategies to help you navigate your time at Macalester.\u00a0Remember that beyond being a student, you are a human being carrying your own experiences, thoughts, emotions, and identities with you.\u00a0Acknowledging any stressors you may be facing, which can be mental, emotional, physical, financial, etc., and how they can have an academic impact may be helpful and Macalester offers an array of resources to help you navigate these challenges. If you are having difficulties maintaining your well-being, please reach out to one of the resources listed below.<\/span><\/li>\n<\/ul>\n\n\n\n<h3 class=\"wp-block-heading\">Library Resources<\/h3>\n\n\n\n<p><strong>Sample syllabus statement <\/strong>[amend for your particular discipline]<strong>:<\/strong><\/p>\n\n\n\n<p>Working to integrate the disciplinary literature into your research can be a complex process. Consulting with the research and instruction librarians for the discipline(s) in which you are studying will save you time and help you discover better, more scholarly sources. You can make an appointment using the Ask Us page on the library website, which can be accessed at <a href=\"https:\/\/www.macalester.edu\/library\/askus\/\">https:\/\/www.macalester.edu\/library\/askus\/<\/a>, or email your librarian(s) directly.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><span class=\"JsGRdQ\">Recording Class Sessions<\/span><\/h3>\n\n\n\n<p><span style=\"font-weight: 400\">If you are planning to record class sessions (either in-person or virtual) to accommodate students who will not be able to attend in real time, please carefully review Macalester\u2019s <\/span><a href=\"https:\/\/www.macalester.edu\/academicprograms\/academicpolicies\/classroomrecording\/\"><span style=\"font-weight: 400\">recording policy<\/span><\/a><span style=\"font-weight: 400\">.&nbsp;<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400\">A sample syllabus statement regarding recording classes could read (perhaps with a preamble that explains your reason[s] for recording):<\/span><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><span style=\"font-weight: 400\">I plan to record our class sessions in a manner consistent with <\/span><a href=\"https:\/\/www.macalester.edu\/academicprograms\/academicpolicies\/classroomrecording\/\"><span style=\"font-weight: 400\">Macalester\u2019s classroom recording policy<\/span><\/a><span style=\"font-weight: 400\">. I will also notify you of the plan to record classes via email. I will share these recordings in a password-protected (and not public) place. If you download any class recordings, you must store them in a password-protected file or on a password-protected site. Please note that the recording policy clearly states that <\/span><b><i>you may not share, replicate, or publish any class recording, in whole or in part, or use any of the recordings for any purpose besides knowing what happened during the class period, without my written approval.<\/i><\/b><span style=\"font-weight: 400\"> If I use any recorded content from any of our classes for purposes beyond our class, I will &#8211; in accordance with the policy &#8211; obtain your written permission to do so.&nbsp;&nbsp;<\/span><\/li>\n<\/ul>\n\n\n\n<p><span style=\"font-weight: 400\">If you have questions about how to store recordings via VoiceThread, Google Drive, or YouTube (in private mode), please contact your <a href=\"https:\/\/www.macalester.edu\/its\/academic-technology-services-2\/\">Academic Information Associate (AIA)<\/a>.<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">Religious Observance<\/h3>\n\n\n\n<p><strong>Sample syllabus statements<\/strong>:<\/p>\n\n\n\n<p><span style=\"font-weight: 400\">Students may wish to take part in religious observances that occur during the semester.
