Pcard Travel Information

Fraud Alerts
Wells Fargo no longer does travel notes on accounts as fraud is more prevalent than ever and requires mitigation. Make sure you have fraud alerts set up. This is important in case something you’re trying to purchase gets declined due to suspected fraud. You will receive a text and email so that you can respond to whichever is easiest, and indicate the charge is valid so that any hold is lifted instantly, and you can continue on using your card. Chances are low that you will actually experience this, but it’s good to be prepared.
Pcard Limits
Most cards have a monthly limit of $5,000 and single transaction limit of $2,000. Consider if these limits are sufficient for your travel needs. Monthly limits reset on the 2nd of the month or the following business day (note: FTR and Startup Pcards do not reset monthly as they are limited to the fund balance). You can check your available credit by logging into Wells Fargo and request an increase if needed.
For convenience, you can download the Wells Fargo mobile Pcard app for Android or Apple to have on hand for checking your card limits/credit availability and monitoring purchases.
Know Your PIN
Many merchants outside the US will require your PIN to process payment. It is a number you created when you activated your card. If you can’t remember it, you can easily reset your PIN.
ATM Cash Withdrawals
Withdrawing cash from an ATM is generally restricted. If you think you’ll need cash, please email your approver and copy [email protected] to request this card privilege. Again, know your PIN. You’ll always be prompted for it when withdrawing cash.
Travel Cash Advances – Travel in Remote Countries
If you anticipate potential challenges using your Pcard and/or having low access to cell/internet service to respond to fraud alerts, you have the option to submit a Travel Cash Advance Request. Requests must be submitted 30 days prior to travel.
Declines During Travel
Consider Your Limits – Is the attempted purchase over your monthly or single transaction limit, or more than your remaining available credit for the month? You can check your available credit by logging into Wells Fargo and request an increase if needed.
Check for Fraud Alerts – Check your texts and email (including spam/trash folders). If the decline is due to suspected fraud, but it is a valid purchase, you’ll be able to click the “Charge is Valid” link. Any hold on the card will be lifted instantly.
Out-of-Pocket Expenses (OOPs) – If the need arises, you can make purchases using your personal cards/cash, and then submit your OOPs for reimbursement in your Wells Fargo Pcard account. Pcard issues during travel are rare, but if you don’t have the means to potentially cover work expenses and wait for reimbursement, it is recommended to submit a Travel Cash Advance Request.
Further Help – The Pcard Administrator is available during regular Macalester hours. Wells Fargo is available 24/7 at 1-800-932-0036 (or 612-332-2224 if traveling internationally). You may need to provide: your 16-digit card (account) number, your Unique ID (your Macalester ID), the Company ID (MACAL196), and your Wells Fargo login User ID.
Fraud & Lost/Stolen Pcards During Travel
Call Wells Fargo immediately at 1-800-932-0036 (or 612-332-2224 if traveling internationally) to report the incident. They will need to confirm your recent transactions with you and close the account. A new card will be issued, and you can request expedited delivery and/or a different delivery address. If your Pcard is closed and you need to use your personal cards/cash, you can submit out-of-pocket expenses for reimbursement in your Wells Fargo Pcard account.
