Transition to Workday for Student Employment

As part of Macalester’s implementation of Workday, student employee hiring and time tracking will move to Workday. This change will allow us to manage hiring, onboarding, time tracking, and payroll within one integrated system. Moving to Workday will improve data accuracy and streamline processes.
Key Process Changes
- Job Postings
- Student positions will be created and managed in Workday.
- Supervisors will submit job requisitions in Workday for approval before posting.
- All postings will be visible to eligible students within Workday.
- Hiring Process
- All jobs will all be initiated and offered in Workday, including students who work in multiple positions.
- Students will complete onboarding tasks directly in Workday.
- Employment will not begin until all required approvals and tasks are completed in Workday.
- Time Tracking & Payroll
- Students will clock in and out and submit sick time requests through Workday.
- Supervisors will review, approve time and approve sick time hours requests within established payroll deadlines.
- Timesheet correction requests will be completed in Workday.
- Work-Study Monitoring
- Award eligibility and earnings monitoring will continue in Workday.
- Additional guidance will be provided on how supervisors can view relevant information and manage earnings against available funding.
More detailed timelines specific to the transition from JobX to Workday and how this will impact hiring students for summer and next academic year will be shared soon. Training sessions and step-by-step job aids will be provided prior to our go-live date of June 1. We recognize that this represents a change in workflow and appreciate your partnership as we implement this new system.
