Annual Faculty Evaluations

Information on the New Faculty Evaluation forms

The Faculty Evaluation forms and Chair evaluation forms can be found in a familiar place- right next to the annual addendum portal.

To access:

  1. Log in to 1600Grand.
  2. Navigate to the Faculty section on the left hand side of the page
  3. Scroll to the bottom and locate the “Faculty Addendum and Evaluation Portal” section
  4. Click on the “Faculty Evaluation Portal” button.
    • Within the portal, you’ll find a list of faculty who taught in the evaluated year, their evaluation form, and a copies of their submitted addenda and CV.

    The Evaluation Process

    1. Course Surveys: All faculty member’s end of course surveys from each course taught in the calendar year 2023 are to be shared with their Department Chair or Program Director. If you used the EvalKit system, this sharing was done automatically. If you did not, please share end-of-course surveys with your Chair or Director.
    1. Addenda: Tenured and Tenure-Track faculty are required to submit an annual addendum, by February 15, which is automatically shared with the Department Chair or Program Director. In the years that a faculty member is undergoing tenure or promotion review, the faculty member may choose to fill out only the teaching and advising portions of the addendum. Visiting and Non-Tenure-Track (NTT) faculty are not required to submit an addendum but they may opt to do so.
    2. Who Should be Reviewed?
      1. All pre-tenure faculty and all returning visiting and NTT faculty should be reviewed.
      2. Tenured (associate or full) need not be reviewed but can request to opt in for a review. You should let your chair know. Tenured faculty should have their course surveys reviewed (see below).
      3. Faculty under review this year (pre-tenure or NTT) do not need to be reviewed.
    1. Review Process: Department Chairs will find the Review Portal by accessing: 1600 Grand → Faculty Section→ Faculty Evaluation Portal. For each faculty you will find the appropriate review form and (if applicable) the Addendum. Chairs can submit their annual review in the Portal and it is automatically sent to the faculty member. Chairs should review course surveys and the addendum (if applicable) and discuss them in their evaluations. 
    1. Feedback Feature: When standard faculty evaluation (does not apply to short form) form is submitted it is sent to the faculty member to (optionally) submit a comment / feedback on the evaluation form before it is submitted to the Provost and Dean of the Faculty. The faculty member will be automatically alerted to this and will receive a two week window to review their evaluation. Afterwards, it will be returned to the department chair to be submitted to the Provost and Dean of the Faculty. 

    It is a good practice to have a conversation about evaluations before submitting to the Office of the Provost. The Faculty Handbook Section 3,VIII describes evaluation procedures, calling for individual consultation but not necessarily a face-to-face discussion of the evaluation.

    1. Course Surveys: For faculty not undergoing an evaluation (tenured faculty and faculty in the year of a pre-tenure or NTT review), chairs should review course surveys and the addendum (if applicable) and discuss them in their evaluations of each faculty member in the department. If the Chair identifies any significant differences between the self-reporting about teaching in the addendum and the actual surveys reviewed that cannot be resolved through discussion, the Chair should let the Dean of the Faculty know so that further conversations can take place and the discrepancy can be addressed.
    1. Department Chair: Each Department Chair should be evaluated by a tenured member of the department chosen by all continuing members of the department. The department should email [email protected] with the name of who will be writing the chair evaluation and will have a form assigned via the Evaluation Portal. The reviewer should solicit feedback from the department and provide a narrative about the Chair’s effectiveness as a departmental leader. The chair may also opt in for a full annual review as discussed above, otherwise the reviewer should read the course surveys as discussed in item 6. The feedback feature (item 5) will allow the chair to comment on their review before it is submitted to the Dean of the Faculty and Provost. The responsibilities of the Department Chair are outlined in the Faculty Handbook Section 5.I.B.
