    Student Misses a Clock-In or Clock-Out
    Step Who What Happens in Workday
    1. Missed Clock-In/Out Student The student realizes they missed a clock-in or clock-out.
    2. Add a Comment Student During their next clock-in or clock-out, the student adds a comment explaining the missed time and requested correction.
    3. Review the Comment Supervisor The supervisor reviews the student’s comment and determines the appropriate correction.
    4. Correct the Time Supervisor The supervisor makes the necessary correction to the student’s worked time in Workday.
    5. Approve the Time Supervisor The supervisor reviews and approves the corrected time for their department/job.

    Quick Tip:

    Students provide the explanation; supervisors make the correction. This replaces the student’s ability to directly edit their time through the previous TimeClock Plus process.

    What’s Changing in Workday

    Supervisor Editing Worked Time Supervisors can edit worked time only for employees in their department.

    Supervisors can edit worked time for an employee under both jobs when the employee has multiple jobs, even if the jobs are in different departments.

    This allows supervisors to correct hours when a student clocks in or out under the wrong job.

    Supervisors Approving Work Time Supervisors approve time according to their assigned employees and department. Supervisors can only approve time for their own department/job. Time worked under another department’s job must be approved by the supervisor responsible for that department.
    Student Sick Time Students could not enter their own sick time in TimeClock Plus. Student sick time can be entered in Workday through Manage Absence. Students may enter the request themselves. The time off request will then follow the appropriate approval process.
    Student Editing Time Students could use the Manage Timekeeping tool in TimeClock Plus to edit their time, including adding a missed clock-in or clock-out. Students cannot edit their time in Workday, including adding a missed clock-in or clock-out. If time is missed or needs correction, students can add a comment during their next clock-in or clock-out explaining the missed time and noting the requested correction. The supervisor can then review and make the necessary correction.
    Missed Time / Prior Pay Period Online Timesheet Correction Request were used to report missed time from a prior pay period. Timesheet correction forms have been retired. Supervisors use Enter Time for Worker to add missed hours to the appropriate day worked.

    If a student missed reporting a day from a prior pay period, the supervisor can enter the missed hours directly on the date the student worked. Payroll will capture these unpaid hours when the retroactive process is run in Workday.

    Supervisor Correction Notifications Supervisors received automated email notifications for long shifts, along with manual email reminders from Payroll when time corrections needed attention. Supervisors also reviewed their department’s time on their TimeClock Plus dashboard to identify and review corrections or adjustments. Supervisors can review their department’s time through the Time & Absence Manager Hub and identify time corrections or adjustments noted by employees by reviewing employee comments in the MAC Clock In/Clock Out Exceptions Report – Manager’s Exceptions Report.
    Supervisor Approval Reminders Supervisors received automated email reminders and manual email reminders from Payroll to review and approve employee time. Supervisors receive weekly Workday notifications reminding them to review and approve submitted time.

    The weekly notification does not mean supervisors are required to approve time weekly; it is a best-practice recommendation from Workday to regularly review and approve submitted time.

    Retroactive Time Prior-period corrections were submitted through the Online Timesheet Correction Request process and manually processed by Payroll. Timesheet Correction requests have been retired. Supervisors enter missed prior-period hours in Workday, and Payroll captures the unpaid hours through the retroactive process.

    Understanding your Timekeeping History and Where to Find Your Information

    With the transition from TimeClock Plus to Workday, the way you enter, review, and manage time has changed. However, some timekeeping practices remain the same.This section provides information about your timekeeping history, where to find information in Workday, and how common timekeeping processes have changed.

    What Stayed the Same

    1. Multiple Jobs
      • Primary job will always be listed first when clocking in/out – if the employee has more than one job.
      • To access the other jobs, use the drop-down menu to select the job when clocking in/out.
      • If the job you are working is not listed, or you do not see a drop-down menu and the employee has more than one job on campus contact:

      • Supervisors can still view all hours clocked in and out by an employee, even when the job is not one that they directly supervise.

    3. 15-Minute Rounding

      • All worked time continues to round to the nearest 15 minutes:
        • 0–7 minutes: Rounds down
        • 8–15 minutes: Rounds up
      • Example:
        • If employee clocks in at 6:07 p.m. → their shift rounds down to 6:00 p.m.
        • If employee clock in at 6:08 p.m. → their shift rounds up to 6:15 p.m.

    What Changed in Workday – Funtional Improvements

    1. Employees can submit their own sick time
      • Employees can access the Manage Absence task to enter their own sick time.
      • Once submitted, the time is routed to the employee’s supervisor for approval.

    2. Supervisors can edit their employees’ worked time

      • Supervisors can now edit their employees’ worked time, even if the shift is for hours worked under a job they don’t supervise.
      • This allows supervisors to correct hours when an employee clocks in/out under the wrong job.
        • Important: Similar to Time Clock Plus, supervisors can only approve time for jobs where they are the designated supervisor.

    3. Weekly Supervisor Approval Notifications

      • Supervisors will receive weekly notifications reminding them to approve submitted time.
        • Important: Receiving a weekly notification does not mean supervisors are required to approve time weekly. The weekly notification is a best-practice recommendation from Workday.

    4. Timesheet correction forms have been retired.

      • The previous timesheet correction forms are no longer used.
      • If an employee misses a day/hours from a prior pay period, the supervisor can use the Enter Time for Worker task to add the missed hours to the date the employee worked.
      • Payroll will capture unpaid prior-period hours through the retroactive process in Workday, and the appropriate payment will be included in a future payroll.

    5. Employees cannot edit any of their time

      • Employees cannot edit their time entries, regardless if it is for a missed clock in/out entry.
      • If an employee realizes they missed a clock-in/out entry:
        • Employees can enter a comment on the next clock in/out explaining  the missed shift and the correction required.
        • Supervisors have access to these comments for review with the MAC Clock In/Clock Out Exceptions Report – Manager’s Exceptions Report.
        • The supervisor can then make the necessary correction to the employee’s worked time.

    How to Review and Approve Time

    Review it, fix it, approve it — three steps to getting time right before payroll.

    Before approving employee time, supervisors can use the following Workday reports and tasks to review time worked and identify any issues that may need to be corrected.

    1. Run Unmatched Time Clock Events
      • Use this report to identify missed punches or unmatched shifts that may need to be reviewed before approving time.
    2. Run MAC Clock In/Clock Out Exceptions Report – Manager’s Exception Report
      • Use this report to identify shifts where an employee has entered a comment.
      • Comments typically indicate that the employee is requesting a time adjustment or correction.
    3. Enter Time for Worker
      • Use this task to add or edit an employee’s time when a correction is needed.
    4. Edit and Approve Time
      • Use this task to review and approve employee time worked.
      • You can also use Edit and Approve Time to make corrections to an employee’s time before approving it.

    Tip: Review any unmatched time events and employee comments before approving time to help ensure employees are paid accurately.

    New Payroll Report – Workday Time Tracking Comments

    Payroll has created a new report that managers can run ad hoc to view comments entered by employees when submitting their time.

    What is this report used for?
    Supervisors can use this report to review employee comments associated with time entries. These comments can help identify missed clock-ins/outs or other timekeeping corrections that may require supervisor action.

    Employees typically enter comments when they need a time adjustment made by their manager. Previously, the only way to view these comments was to review each employee’s individual time entries.

    The new report provides a more efficient way to review these comments in one place.

    Report Name: MAC Clock In/Clock Out Exceptions Report – Manager’s Exceptions Report.

    How to Access the Report

    To access the report:

    1. Log in to Workday
    2. In the search bar, enter:
      • MAC Clock In/Clock Out Exceptions Report – Manager’s Exceptions Report
    3. Select the report from the search results.
    4. Run the report to review employee timekeeping comments and exceptions.

    Helpful Reminder:

    • Employees cannot edit their own time entries.
    • If an employee misses a clock-in or clock-out, they can add a comment to their next clock-in/out explaining the correction needed.

    Supervisors can review these comments using the Workday Time Tracking Comments report.

    Pay Stub Notifications Update

    Your pay stub notification is moving from email to Workday.

    What’s changing?

    • Emails will no longer be sent when a new pay stub is available for review.
    • Instead, you will receive a notification on the Workday home page under “Timely Suggestions” when a new pay stub is available.

    Helpful Tip: Check Timely Suggestions on your Workday home page regularly so you don’t miss a new pay stub notification

    Time Entry for Employees Who Clock In/Out

    Know when your clocked time is automatically submitted and what you need to do.

    • Helpful Tip: If you record your time by clocking in and out in Workday, you do not need to manually submit your hours to your supervisor.
    • Payroll has a scheduled process that runs every Sunday at 8:00 a.m. to automatically submit eligible, completed clock-in/out time entries from the previous seven days.
    • Your eligible time entries will automatically be submitted to your supervisor for review and approval.

    Important: Make sure your clock-in/out entries are complete and accurate before the Sunday process runs.

    Keep these helpful tips in mind to stay on track with your time, pay, and everyday Workday tasks.

    Quick reminders to help you complete common Workday tasks accurately and avoid common timekeeping issues.

  • Helpful Tips for New Supervisors

    New to supervising employees in Workday?

    Use these quick tips to help you navigate common timekeeping and approval responsibilities.

    1. Know Your Responsibilities
      • As a supervisor, you may be responsible for reviewing and approving:
        • Employee worked time
        • Time off requests
        • Other timekeeping items routed to your Workday inbox
        • Make sure you regularly check My Tasks so you do not miss items requiring your action.
    2. Review Time Before Approving
      • Before approving employee time, review the:
        • Dates worked
        • Clock-in and clock-out times
        • Total hours
        • Job/position
        • Comments or exceptions
        • If something does not look correct, do not approve the time until the issue has been addressed.
    3. You Can Edit Worked Time
      • Supervisors can edit an employee’s worked time when a correction is needed, including when an employee accidentally clocks in or out under the wrong job.
      • Important: You may be able to edit time for a job you do not supervise, but you can only approve time for jobs where you are the designated supervisor.
    4. Employees Cannot Edit Their Own Time
      • Employees cannot directly edit their time entries.
      • If an employee misses a clock-in or clock-out, they can add a comment to their next clock-in/out explaining what happened and what correction is needed.
      • Supervisors can review these comments using the MAC Clock In/Clock Out Exceptions Report – Manager’s Exceptions Report.
      • Supervisors can use the information in the report to identify and make the necessary corrections to the employee’s time in Workday.
    5. Watch for Time Off Requests
      • Review time off requests in My Tasks and take the appropriate action:
        • Approve – The request is correct.
        • Send Back – Use this when the employee needs to make a correction.
        • Deny – Use when the request should not be approved.
      • Helpful Tip: If information needs to be corrected, Send Back is generally preferable to denying the request.
    6. Remember That Weekly Notifications Are Reminders
      • Workday may send supervisors weekly notifications reminding them to review and approve submitted time.
      • This does not mean you are required to approve time once a week. The notification is a Workday best-practice reminder.
    7. Check the Employee’s Job
      • If an employee has multiple jobs, make sure you are reviewing and approving time for the correct position/job.
      • If an employee cannot find the job they are working under when clocking in/out, please reach out to Human Resources for assistance with the employee’s job setup.
    8. Prior-Period Missed Time
      • If an employee reports that they missed hours from a previous pay period, supervisors can use Enter Time for Worker to add the missed hours to the date the employee actually worked.
      • Timesheet correction forms are no longer used.
      • Payroll will capture eligible unpaid prior-period hours through the Workday retroactive process.
    9. Use Comments When Helpful
      • When making a correction or reviewing an unusual time entry, adding a comment can provide helpful documentation about why the change was made.
      • This can make it easier for Payroll or another supervisor to understand the correction if questions arise later.
    10. When in Doubt, Don’t Approve Yet
      • If something doesn’t look right, pause before approving.
      • Contact the employee to clarify the issue or contact Payroll if you are unsure how to handle the situation. Once time has been approved and processed, corrections may require additional Payroll review.

        • Your supervisor can review and correct the worked time in Workday.
    • My Time Off Request Doesn’t Look Right
      • If your time off request is missing, incorrect, or has not been approved:
        • Check the Requests section under Manage Absence.
        • Review the date, hours, and time-off type.
        • Check My Tasks or your Workday notifications for the status of the request.
        • If the request was sent back, review the comments and make the necessary changes before resubmitting.
    • My Pay Stub Isn’t Showing
      • If you are expecting a new pay stub:
        • Check Timely Suggestions on your Workday home page.
        • New pay stub notifications are no longer sent by email.
        • Make sure you are looking for the correct pay date.
    • I Have Missing Hours From a Previous Pay Period
      • If you worked hours that were not entered or paid:
        • Contact your supervisor.
        • Your supervisor can enter the missed hours in Workday using Enter Time for Worker.
        • Payroll will capture eligible unpaid prior-period hours through the retroactive process in Workday.

    Timesheet correction forms are no longer used.

    Can I edit my own time entry if I foget to clock in and out?

    What if I have more then one job?

    How do I submit sick Time?

    • Employees can submit their own sick time through Manage Absence in Workday.
    • Once submitted, the sick time request will be routed to the employee’s supervisor for approval.

    Can I change a vacation request?

    • Yes. An approved vacation request can be edited in Workday.
    • If multiple days were submitted as one request, Workday may treat the entire group of dates as one absence record. Editing part of the request may cause the request to return to the approval process.
    • If the time has already been processed through Payroll, the change may also result in a retroactive adjustment.

    Where can I find my pay stub?

    • New pay stub notifications are available under Timely Suggestions on your Workday home page.
    • Pay stub notifications are no longer sent by email.

    I entered my bank account in workday.  Does that mean I have direct deposit?

    • Not necessarily. Adding a bank account in Workday does not automatically activate direct deposit.
    • You must also make sure the account is properly allocated under Payment Elections.
